• Account information: when you sign in through our single sign-on providers (Microsoft Entra ID or Auth0), we receive your name and email address to authenticate you and associate your activity with your organization’s account.
• Booking and shipment data: information you or your organization submit or that is generated through use of the Portal, including bookings, shipment tracking events, rates, contacts, and related reference numbers.
• Documents and messages: files you upload and messages you send through the Portal in connection with a booking.
• Notification preferences: email addresses you designate to receive booking or document notifications.
• Usage and diagnostic data: aggregated, anonymized performance metrics collected via our hosting provider’s analytics tooling to help us monitor and improve Portal performance.
• Cookies and session data: a session cookie is used to keep you signed in. We do not use advertising or cross-site tracking cookies.

We use the information described above to:

• Authenticate users and maintain secure access to the Portal.
• Process, display, and update bookings, shipment tracking, rates, and related documents.
• Deliver email notifications about booking activity to recipients you designate.
• Provide customer support and respond to inquiries.
• Monitor, maintain, and improve the security and performance of the Portal.
• Comply with legal obligations and enforce our agreements.

We do not sell personal information. We share information only as necessary with:

• Your own organization’s authorized users, to the extent required for shared bookings, tracking, and messages within your account.
• Service providers who host, secure, or support the Portal on our behalf (for example, cloud hosting, database, authentication, and email-delivery providers), under contractual confidentiality and data-protection obligations.
• Authorities or third parties where required by law, regulation, legal process, or to protect the rights, property, or safety of our users or the public.

We retain booking, tracking, document, and message data for as long as needed to provide the Portal to your organization and to meet legal, accounting, or reporting obligations. Account information is retained for the duration of your access and removed or anonymized within a reasonable period after access ends, unless a longer retention period is required by law.

We use technical and organizational safeguards, including encrypted connections, access controls, and authenticated sign-in, designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on your location, you may have rights to access, correct, or request deletion of your personal information, or to object to or restrict certain processing. Because the Portal is provided to you through your employer or business relationship with us, requests may need to be coordinated with your organization’s administrator. The Portal is intended for business use by authorized adult users of our customers and is not directed to children. We do not knowingly collect personal information from children.
